If you’re meeting a client; how do you look?  Presumably you have nicely polished shoes and smart clean clothes.  If you’re a gent, you’ll have neat hair and most likely be clean shaven.  If you’re a lady, you’ll have a nice hairdo and be wearing just the right amount of makeup.

What’s our point?  Well, clearly, first impressions count.  You wouldn’t meet a potential client dressed as though you’d been dragged through a hedge backwards by a rabid badger.  However, these days your first impression can be what a client forms by visiting your website or giving you a call.  This can happen before you even meet.  So how can you create a decent first impression without being face to face?

Well, it’s easy when you have a professionally produced IVR.  Quite often calling a business can be something like this…
‘Phone rings for an eternity…
“Hello?”
“Hello.  Is that Des Parrot’s Pet Supplies?”
“Yes”.
“Is Des there please?”
[Aside] “Anyone seen Des?  No?  Anyone?”  [To caller]  “No.  No-one’s seen him”.
“Do you know when he’ll be back?”
“Well, not really.  Seeing as none of us knows where he is”.
“OK.  May I leave a message?”
“I suppose so”.  [Aside]  “Anyone got a pen?”

Well, that may be a little extreme but you get the idea.  If you were calling Des Parrot to order a supply of some item for your chain of pet shops you wouldn’t be too impressed.  If Mr Parrot had an IVR system in place, things would be a little easier for both caller and recipient.

Ideal!

There would be no long wait for the ‘phone to be answered.  A professionally recorded voice artist would greet you with, “You’re through to Des Parrot’s Pet Supplies.  Did you know we currently have an offer of 50% off all orders over £250 for this month only?  Find out more when we put you through.  Press 1 for sales.  Press 2 for accounts.  Press 3 for warehouse.  Press 4 for Mr Parrot’s PA.  Or press 5 for anything else”.

You would press 4, naturally.  In the event that there was no answer, this would happen.  “Mr Parrot and his PA are currently unavailable.  You can email parrotpet@hotmail.co.uk or please leave a message after the tone”.

That way you know someone isn’t scribbling your message down on the back of a packet of Dreamies cat buscuits, only for it to then get lost somewhere in a warehouse.  You will also notice that this IVR system could be the same for any business.  They could be a local business that only operates within a 50 mile radius.  They could be global; shipping bird seed to Guatemala.

Air of Mystery

How are we to know?  Their first impression that they have just created is professional, efficient and faultless.  These sound like people you can trust.  This sounds like a company you can do business with.  They also took the opportunity to market their latest offer.  So you’re aware of it before you’ve even got through to place your order.

So if you want to create a decent first impression, you know what to do.  Get a professional-sounding IVR system, using an experience voice artist.  It needn’t cost the earth and it’ll prove invaluable for directing calls to the correct people, always ensuring calls are answered promptly and a message never needs to go astray.
